Introduction and scope

This policy explains how Aquarium World Nepal Pvt. Ltd. (“Aquarium World Nepal”, “we”, “us”) collects, uses and protects personal information when you use this website, place an order through it, or contact us through it.

We are an aquarium and pet supplies store at Banasthali, Kathmandu, Nepal.

We aim to handle personal information in line with the laws of Nepal, including the right to privacy in the Constitution of Nepal, the Privacy Act, 2075 (2018) and its Regulations, the Electronic Transactions Act, 2063 (2008) and the E-Commerce Act, 2081 (2025).

Information we collect

We collect only what you type or choose on this website, plus the details a website needs to work:

  • details you give us when you order, ask to be told about stock, subscribe, apply for a job or contact us (described below);
  • your order: the items, prices, any coupon or points used, and its progress;
  • a delivery pin on the map, only if you choose to add one;
  • basic technical information that every visit sends, such as your device's internet (IP) address, which our server uses to answer the request and to block abuse (for example, too many attempts in a short time).

We don't ask for, and you shouldn't send us, sensitive information such as your religion, caste, health or bank details.

Personal information you give us

  • When you order: your name, mobile number and delivery address. You may also give an email address, a landmark, delivery instructions and, for a gift, a short message.
  • “Notify me” on an item that is out of stock: your mobile number and, if you want, your name.
  • Newsletter: your email address.
  • Job applications: your name, mobile number and, if you want, email address, where you live, your experience, a message and a link to your CV.
  • Product reviews: the name you choose to show, your star rating and what you write. If you add your order number, phone number and order code to show “Verified buyer”, we use them only to check the order and keep just the order number with your review.
  • When you message or call us (for example on WhatsApp), what you choose to tell us.

Accounts and sign-in

You don't need an account to shop with us, and there are no customer passwords. Each order has an order number and a private order code; together with your phone number they let you track, change or cancel that order on the “Track order” page. Please keep your order code private.

Only our team can sign in, to the shop's admin area. Their passwords are stored in a scrambled (hashed) form, never as plain text.

Orders and purchases

For each order we keep the items, prices, any coupon, delivery or setup charge, the total, the payment method and status, and a history of its progress (for example confirmed, out for delivery, delivered).

Delivery address, map pin and landmark

What we collect: the address you type, and, if you add them, a landmark, delivery instructions and a pin on the map.

The map pin is optional. You can place it by searching for a place or tapping the map. We use your device's location only if you press “Use my current location”, and only once, to place the pin: your browser asks your permission first, and we don't track your location or collect it at any other time. Typing your address is always enough.

Why: only to deliver your order and to find you if the address is unclear. To show the address of the pin and to search for places, the pin's position or what you type in the search box is sent from our server to OpenStreetMap's address service (nominatim.openstreetmap.org). Your name and phone number are not sent with it.

Who can see it: our team members who handle orders, and the person delivering your order. On the Track order page you see that a pin was saved, but not its exact position.

How long: it stays with the order (see “Data storage, security and retention”). You can ask us to correct or remove it, as described below.

Payment

You can pay in cash when your order is delivered.

This website does not collect or store card numbers, wallet logins or bank details.

Cookies, analytics and similar technologies

This website doesn't use cookies, analytics or advertising trackers. It does keep a few things in your browser's own storage, on your device, so the site works as you expect:

  • your cart and saved items;
  • while you are at checkout, what you've typed, so a refresh doesn't lose it (it is cleared when the order is placed or the browser tab is closed), and the order you just placed, for the confirmation page;
  • small preferences, such as whether you paused the background video or closed a pop-up.

You can clear this at any time in your browser's settings.

the map at checkout is drawn with map images from tile.openstreetmap.org, and the map of our store on the homepage is shown by Google Maps. Some product photos or videos may also be loaded from other websites. When these load, those companies receive your device's internet address, and they may use cookies under their own privacy policies.

How we use your information

  • to confirm, prepare, deliver and support your order, and to contact you about it;
  • to send the messages you ask for (back-in-stock, care reminders, newsletter);
  • to consider your job application and contact you about it;
  • to check product reviews before they are published, and to show the ones we approve with the name you chose;
  • to keep our sales and accounting records;
  • to protect the website and our customers from misuse and fraud.

We use your information only for these purposes. We don't sell it, and we don't use it for anything unrelated without asking you first.

Sharing with delivery, payment and other service providers

We share personal information only when it is needed: with the person delivering your order; with the services below, which handle messages and maps for us; and when the law requires it, for example a valid request from a court or the police.

  • Google (Gmail): sends order confirmation emails to customers who give an email address, and order alerts to our team.
  • OpenStreetMap (nominatim.openstreetmap.org, tile.openstreetmap.org): finds addresses for the map pin and draws the map.

If you choose to message us on WhatsApp, or open our location in Google Maps, those services handle that conversation or visit under their own privacy policies.

Data storage, security and retention

Your information is stored on the server that runs this website, with automatic backup copies. Only our signed-in team members can see customer details; tracking an order online needs the order number, phone number and order code; the website limits repeated attempts; and a record is kept of changes made in the admin area.

No method of storing or sending information is completely secure, but we take care to protect it.

How long we keep it:

  • Orders, including the delivery details: for as long as we need them to deliver and support the order and to keep the business records the law requires.
  • Back-in-stock requests: until we've sent the message, then for about six months.
  • Job applications: for as long as we need them to fill the job you applied for.
  • Product reviews: while they are shown on the website, or until you ask us to remove them.
  • Newsletter: until you ask us to remove you.
  • Backup copies: replaced automatically, so information we delete also disappears from them within about 14 days.

Your privacy rights and choices

  • Ask what personal information we hold about you, and get a copy of it.
  • Ask us to correct information that is wrong or out of date.
  • Ask us to delete your personal information. We remove your name, phone number, email address, address and map pin from your orders; we keep the record that a sale happened (items, amounts, dates) where the law or our accounts require it.
  • Stop messages: care reminders on the Track order page, the newsletter or back-in-stock messages by asking us.
  • Choose not to give optional details, such as an email address or a map pin.

How to ask for access, correction or deletion

Contact us at +977 984 335 6678 and tell us what you'd like us to do.

To protect your information, we may first check that the request comes from you, for example by asking for your order number and order code, or by calling the phone number on the order.

We answer as soon as we can.

We can't delete details of an order that is still on its way; we do it once it is delivered or cancelled.

Marketing and messages

We send messages about your order, such as a confirmation and updates. We send other messages only if you ask for them:

  • the newsletter, if you subscribe;
  • one back-in-stock message, if you tap “Notify me”;

We don't send advertising messages without your consent.

Other websites and services

This website links to other services, such as WhatsApp, Google Maps and our social media pages. Their own privacy policies apply when you use them. We're not responsible for how they handle information.

Children's privacy

This website is meant for adults. If you are under 18, please ask a parent or guardian to order or apply for you. If you believe a child has given us personal information, contact us and we'll remove it.

Changes to this policy

We may update this policy when our website or the law changes. The date at the top shows when it was last updated.
